Q. Where is InfoComm 2013?

A.

InfoComm 2013 will be held at the West Concourse of the Orange County Convention Center (OCCC) in Orlando, Florida. The OCCC street address is 9800 International Drive, Orlando, FL 32819

Q. What is the deadline for signing up to exhibit at InfoComm 2013?

A.

There is no deadline to sign up. However, you'll want to as soon as possible to take advantage of the multiple marketing opportunities offered. In order to be listed in the official Show Guide, you need to be signed up before April 19, 2013.

Q. What are the terms of payment for my exhibit space?

A.

Payments of exhibition fees are required as follows:

  • 50% of the total exhibition fee is due on or before August 17, 2012. A second payment equal to 25% of the total exhibition fee for a cumulative payment of 75% is due on or before October 19, 2012. The balance of the total exhibition fee is due on or before January 11, 2013.
  • If the Exhibitor contracts on or after August 17, 2012, but prior to October 19, 2012, 50% of the total exhibition fee is due within fifteen (15) days of Exhibitor's signing of the contract.
  • If the Exhibitor contracts on or after October 19, 2012, but prior to January 11, 2013, 75% of the total exhibition fee is due within fifteen (15) days of Exhibitor's signing of the contract.
  • If the Exhibitor contracts on or after January 11, 2013, 100% of the total exhibition fee is due within fifteen (15) days of the exhibitor's signing of the contract.
Q. What if I need to cancel my booth?

A.

All exhibitor participation cancellations must be received by Organizer in writing (return receipt requested) and acknowledged by Organizer.

If written notice of participation cancellation is received by Organizer before October 19, 2012, the Exhibitor shall pay a cancellation fee equal to 50% of the total exhibition fee. If written notice of participation cancellation is received by Organizer on or after October 19, 2012, but prior to January 11, 2013, the Exhibitor shall pay a cancellation fee equal to 75% of the total exhibition fee. If written notice of participation cancellation is received by Organizer on or after January 11, 2013, the Exhibitor shall pay a cancellation fee equal to 100% of the total exhibition fee. Exhibitors contracting on or after January 11, 2013, are responsible for the full (100%) exhibition fee, even in the event of cancellation any time thereafter. Any deposits made by the Exhibitor may be used to fully or partially reduce the cancellation fees described above.

Q. What is included in the cost of my exhibit?

A.

All exhibits will be set with an 8' high back drape, 36" high black side dividers and a 2-line, 7"x 44" booth identification sign with logo. Booths are NOT carpeted.

Exhibitor personnel already on the exhibit floor before 8:00 p.m. may stay as late as they wish; but, they will not be readmitted once they leave the Show floor.

PLEASE NOTE: Overtime rates will apply for Display and Forklift on Saturday and Sunday.

All exhibits must be ready for final inspection by Show Management at 5:00 p.m. on Tuesday, June 11.

Q. How do I find out what my target move-in date is?

A.

The target move-in maps and schedules are located in the Labor & Material Handling section of the Exhibitor Service Manual. You can also contact Freeman at +1.407.816.7900.

Q. What are the dismantling dates and times?

A.

Exhibitor move-out begins at 4:00 p.m., Friday, June 14. It is estimated that it will take approximately six (6) hours for Freeman to return all empty crates after the Show closes and aisle carpet is removed. Placing crates or cartons in the aisles at this time will slow the empty container/crate returns. You may obtain shipment labels from the Freeman Service Desk.

All exhibitor materials must be removed from the exhibit facility by Sunday, June 16 at 5:00 p.m.

PLEASE NOTE: Overtime rates will apply for Display and Forklift Labor on Saturday and Sunday.

Q. When does my exhibit need to be ready?

A.

All exhibits must be ready for final inspection by Show Management at 5:00 p.m. on Tuesday, June 11.

Q. Where is my exhibit located?

A.

Use the following steps to find where your exhibit is located:

  1. Click here to access the Exhibitor List
  2. Search for your company in the list and click on your company name
  3. At the top of your company listing, you will see your booth number and a link that says 'Map It'; click on 'Map It'.
  4. A new window will open with the floor plan map; your booth will be highlighted in red.
Q. Am I required to have liability insurance?

A.

Yes, all exhibitors and their decorators MUST carry liability insurance in order to exhibit and work on the show floor during move-in, show hours and move-out. Please refer to the Rules & Regulations section of the Exhibitor Manual for further explanation of this requirement. Also, we have provided information on an insurance provider that can help you obtain insurance.

PLEASE NOTE: It is required that all exhibitors send a Certificate of Insurance to Show Management by April 19, 2013 in order to exhibit.

Q. When is the Exhibitor Manual available?

A.

The manual will be available starting mid-January. In our efforts to "Go Green" we will not be printing a binder for exhibitors. The Exhibitor Manual can be accessed online through www.myfreemanonline.com or your main exhibit contact will be sent an email where you can download the PDF version.

Q. Are there sound restrictions on the show floor?

A.

Yes, exhibitors operating sound reproducing equipment will be expected to keep the sound volume level emanating from their exhibits below 85-decibels, in order to avoid disturbing other exhibitors. Please refer to the Exposition Rules & Regulations in the Exhibitor Manual.

Q. I want to have a meeting or event in my booth before show hours. How do I get my people access onto the show floor if they only have attendee badges?

A.

All exhibitors hosting an event on the exhibit floor before show hours must complete the Before/After Hours Event Form, provide a list of attendees and submit it to Show Management. Such requests are approved on a case by case basis. This form can be found in the Exhibitor Manual under the General Information Tab.

Q. I received my complimentary Free Pass invitations but I still need more to send to my best customers. How can I get more?

A.

You can request more passes by completing the Free Pass request form located in the Exhibitor Manual under the Marketing and Promotional Opportunities section.

PLEASE NOTE: In order to have your passes personalized with your company name, requests must be received by April 15, 2013. Passes can be sent after that date but will not be personalized.

Q. Does my exhibitor badge allow me access to the conference sessions?

A.

Exhibitors must register separately for the conference sessions held from June 8-14 at the OCCC. Registration fees vary based on programs and course length.

Q. Who is the official contractor?

A.

Freeman is the official general services contractor for InfoComm 2013. They can provide exhibitors with a wide range of services including exhibit rentals, carpet, furnishing, labor and shipping.  For questions about the products and services offered, contact Freeman directly.

Q. What is an Exhibitor Appointed Contractor (EAC)?

A.

Any company other than the designated "official" contractors listed in the exhibitor manual, which provides a service and needs access to your booth anytime during installation, show dates or dismantling.

Q. What are the rules if I want to use an Exhibitor Appointed Contractor (EAC)?

A.

Show Management must be notified of the exhibitor's intent to use of a contractor other than The Freeman Companies (Official Services Contractor). No outside contractor personnel will have access to the show floor unless Show Management has received the EAC Work Authorization Form from the exhibiting company by April 5, 2013.

Exhibitors using display houses or service contractors other than The Freeman Companies (Official Service Contractor) are required to provide certificates of insurance for non-official contractors for Workers Compensation and Comprehensive General Liability.

Q. We would like to hire talent to hand out materials at the show. Is this allowed?

A.

Exhibitors may hire talent to work only within the confines of their exhibit space.Show Management does not allow exhibitors to have materials passed out in the show floor aisles of the Convention Center. Literature distribution in the Convention Center lobby areas or in front of the building is available for a fee and is limited – see the Sponsor and Marketing Promotion Opportunities Brochure online for more information.

Q. My company information is incorrect in the Exhibitor List. How do I get this updated?

A.

You can update your company information by going to 'Update Your Directory Listing' (available in December), under the Exhibitor tab on the top nav. Enter your password and make sure to click SAVE after you've made your updates.

If you still are having trouble, need your login information or need to change your company name, please contact Rob Pennylegion at rpennylegion@infocomm.org. In order for this to be updated for the printed Show Guide, all updates must be done by Friday, April 19, 2013.

Q. Where can I park at the Convention Center and how much will it cost?

A.

The fee for parking at the Orange County Convention Center (OCCC) is $15.00 per car per entry and $25.00 for oversized vehicles (e.g. buses) per entry.  After 5:00 p.m., discounted rates apply. After paying the daily parking charge, exhibitors with appropriate show credentials and their original receipt for that day's parking have unlimited in and out parking access within each 12-hour day should spaces be available.
