InfoComm’s training program is created by the pro AV industry, for the pro AV industry. More than 30 volunteers participate in education advisory groups to identify topics and trends that should be presented at InfoComm.

Session Delivery Formats

InfoComm Education sessions and workshops are available for a fee and attended by over 2,000 industry professionals. The majority of accepted CFP submissions are presented in the InfoComm Education Program which offers over 100 vendor-neutral technical and professional training sessions with renewal unit credits. A small number of submissions are presented as workshops, which feature a smaller student-to-instructor ratio and more in-depth discussions.  

Show floor sessions at the Technology Innovation Stage, Xchange Live, and other areas are open to all InfoComm attendees for no charge. These sessions are curated by a production team and a small number of CFP submitters are invited to present a show floor session. 

The session type is driven by how you plan to deliver the session content. Will you be talking in front of an audience? Moderating a conversation? Leading them in practicing a skill? Submitters must select one session format during the application process. If our team thinks another format will work better, we will reach out. 

  • Presentation: Technical content delivered by one or two speakers with key tips, solutions, and takeaways. Includes time for audience Q&A. 

  • Panel: A discussion of a current trend or technology development from different perspectives with no more than 5 total speakers, including the moderator. Includes time for audience Q&A. 

  • Workshop: Combination of presented content followed by an activity facilitated by the content leader, where attendees discuss in small group discussions and/or participate in Q&A facilitated by the presenter so that learners can apply and share what they have learned. 

Learning Levels

Attendees interested in education and training have varying levels of knowledge on topics presented at InfoComm. Your topic should be tailored to InfoComm’s target audiences, including technology managers and end users as well as AV/IT designers, integrators, and engineers. 

Speakers should assume a basic understanding of industry knowledge and stipulate the level of proposed content session by indicating one of the topic knowledge levels below: 

  • Advanced – suitable for attendees with extensive experience in the topic area covered by the session. 
  • Intermediate – suitable for attendees with exposure and some experience in the topic area covered by the session.  
  • Beginner – suitable for attendees with little to no prior exposure to the topic area covered by the session.  

Submission Guidelines

InfoComm is searching for sessions that reflect thoughtful, creative, and data-driven case studies and presentations. Speakers should ensure that the submission content is relevant to the AV industry and its communities. When submitting topic(s), speakers should keep in mind that InfoComm attendees should walk away with action items, best practices, and creative ideas they can implement right away.  

  • InfoComm reserves the right to combine session abstracts or request changes to the session scope and format to ensure the balance of the education program. 

  • Only unbiased, non-proprietary presentations will be considered. Using the education program as a platform for promotion of products and services is not allowed. 

  • Note for Suppliers: If you are an industry supplier submitting a proposal, you will not be considered unless you are a contracted InfoComm 2024 exhibitor. Preference is given to suppliers who include an integrator or end user as a co-presenter. 

  • Session date and time are not guaranteed. 

  • All presenters must accept the terms of the InfoComm Speaker Agreement. 

  • Due to the high volume of submitters, InfoComm is unable to provide direct feedback related to the reason a submission was not accepted. 

Selection Process

Sessions are evaluated by AVIXA staff and a group of volunteer subject matter experts with many years of industry experience. Recommendations for inclusion are based on proposal quality, presenter/facilitator expertise, alignment with requested topics, and suitability for the InfoComm audience.  

All presentations are selected based on the information submitted. Submitters are expected to follow all instructions carefully and provide all requested information. Incomplete submissions will not be considered.  

The selection process involves a review of every complete presentation submitted prior to the deadline. Completed submissions include speaker profiles (i.e. bio, photo,) for each session content leader, session descriptions, and actionable learning objectives. 

Typically, more presentations are submitted than can be accepted. Final acceptance is also dependent on space availability and proposal uniqueness. High-quality proposals that aren’t accepted for InfoComm 2024 may be offered the opportunity to participate in a different AVIXA content program.  

Selection Criteria

Presentations must be tailored for AV professionals, showing evidence of material that will make a significant contribution to the development of attendees’ professional capabilities and knowledge of the field.     

Submissions are evaluated on the following criteria: 

  1. Complete presentation submission, submitted by the deadline. 

  2. Session learning level is appropriate for the audience and topic. 

  3. Identification of three actionable learner outcomes that complete the following the sentence: "After participating in this session, attendees will be able to:"

  4. Session is designed to encourage audience questions, interaction, and participation. 

  5. Presenter or panelists have in-depth topic knowledge. 

  6. Content is focused, current, practical, or innovative

Supplier Speaker Policy

A Supplier Speaker refers to a speaker who has a commercial interest in the audience attending InfoComm and who is considered as a potential InfoComm exhibitor. Supplier Speakers will not be considered eligible to present to a formal InfoComm audience except in the following situations:

  • Supplier Speaker is an exhibitor/supplier who has paid to exhibit in the InfoComm exhibition.  

  • Supplier Speaker is a non-exhibitor who has paid for a non-exhibitor sponsorship in the InfoComm exhibition.  

  • Supplier Speaker is invited by AVIXA Live Content Team due to needed expertise on a particular topic.

Q: When will I hear whether my proposal is selected?   
A: February 2024  

The Call for Presenters timeline is as follows:

  • November 30 - Call for Presenters closes

  • January 31 - Review process concludes

  • February 1 - First round of accepted presenters notified

  • February 15 - Speaker agreements due

  • May 1 - Speaker presentation decks and handouts due

Q: Is there any charge to submit or present training at InfoComm? 
A: There’s no charge to submit, and as long as your presentation is vendor-neutral there’s no charge to present. If you would like to talk specifically about the amazing things your company is doing, contact your InfoComm Account Manager to learn about Manufacturers’ Training and Content Sponsorships. 

Q: Is there a fee for participants to attend my session at InfoComm? 
A: If your submission is invited to present an InfoComm education session or workshop, there is a fee for attendees. If your submission is invited to present a Technology Innovation Stage, Xchange Live, or other show floor presentation, there is no fee for attendees.  

Q: Can I discuss specific products or brands in my session?   
A: This is a fine line: excluding manufacturer’s training sessions, InfoComm sessions cannot promote the products or services of any specific company. They also shouldn’t deride any specific vendor.  

Q: How good are my odds of acceptance?   
A: The InfoComm Call for Presenters is very competitive: less than 25% of submissions are selected. However, we do review submissions for a wide array of year-round platforms, not just the InfoComm tradeshow. This means each submission has a chance of being selected either for InfoComm or another AVIXA platform.   

Q: What are the benefits of presenting at InfoComm?   
A: You mean besides supporting the industry you love? All volunteer speakers receive complimentary registration for InfoComm 2024, plus a free InfoComm education pass worth $599.  

Q: Does InfoComm cover travel expenses for accepted speakers? 
A: Submitters whose session(s) are offered an invitation to present at InfoComm are responsible for their own travel arrangements and costs. 

Q: Can I invite my colleagues and clients to attend my session? 
A: Two (2) guest passes are available for each speaker presenting an InfoComm education session. These guests passes are available for each session that a speaker presents. Guest passes are not available for workshops, which have limited capacity, and for show floor sessions, which are open to all show attendees. 

Q: I have an idea for a session, but I haven’t confirmed the availability of all the presenters/panelists. Can I submit?   
A: Yes. However, you will have to work quickly to obtain final confirmation from all speakers if your submission is selected. Participants will have two weeks to accept or decline the invitation. If they fail to confirm in this time period, the session will be replaced.   

Q: Will my session be recorded? 
A: InfoComm education sessions and workshops are not recorded.  

Q: Can I record my own session? 
A: If you would like to record your session, you must first obtain permissions from all the session speakers. You are also responsible for providing all crew and equipment needed for recording. Equipment storage is not available. Speakers have access to their classroom 30 minutes before their session begins, and additional time is not available for those wishing to record their session.
